The Limitations of Static PDF Electrical Contractor Proposals

We’ve spoken to commercial electrical contractors who have plenty of great clients. They work for general contractors and construction companies, as well as for business owners, property managers, and government organizations. Many do ground-up construction projects and remodels, too.

But despite delivering outstanding electrical services, they struggle to grow revenue because their teams are bogged down by inefficient, disconnected systems: static pricebooks, complex spreadsheets, Microsoft Word documents, and the like. This leaves them at a disadvantage when producing business proposals to win lucrative jobs such as electrical system replacements and electrical installations.

And, although PDF proposal forms are a step up from using paper and Excel spreadsheets, they quickly become a liability as your electrical business grows. While they work for simpler jobs, static templates create friction, mistakes, and missed opportunities when used at scale.

Specifically, their limitations include:

  1. Static & Inflexible → No Real-Time Updates or Documented Approvals

    • An electrical bid template is just a digital piece of paper — it doesn’t update in real-time, track changes to unit prices or work orders, or flag signature approvals.

    • If an electrical contractor makes a change to a project proposal, it won’t be reflected across other parts of the workflow.

  2. Lack of Integration → Time-Consuming & Error-Prone Workflows

    • PDFs don’t automatically sync with the other tools involved in sales and  project management, such as pricebook, CRM, project management software, inventory and purchasing, or billing and accounting.

    • Customer information, project details, material costs, and payment terms must be transferred and itemized manually from different sources (spreadsheets, Microsoft Word docs, or other software), wasting time and increasing data entry errors.

  3. No Multimedia Support → Lost Context & Disorganized Documentation

    • PDFs are limited to text, meaning electricians can’t attach key photos or videos directly in the proposal.

    • Storing media separately increases the chances of losing critical information or failing to communicate the full scope of work.

  4. No Follow-Up Procedure → Delays & Missed Revenue Opportunities

    • There’s no cohesive system to ensure that bids are followed up on in a timely fashion.

    • A fragmented system means job opportunities are often lost to contractors with better follow-up processes, leading to missed revenue.

Why Settle for Outdated PDFs? ServiceTitan Solves These Pain Points

Using PDF templates to create construction bids for large-scale jobs is like using a basic cellphone instead of a smartphone — it’s inefficient, outdated, and prone to costly oversights.

In the next section, we’ll explain how ServiceTitan’s electrical contractor software streamlines the bidding and project management processes and integrates them with key job workflows for residential and commercial jobs so electrical contractors can:

How ServiceTitan Integrates & Streamlines Electrical Bidding with the Entire Project Management Process

Track and Work Project Leads with Our Commercial Contractor CRM

ServiceTitan's CRM: All Opportunities

With ServiceTitan’s commercial CRM, your team manages a dedicated Projects pipeline alongside your other work (quoted jobs, service agreements, etc.). Sales leaders can:

  • See how many projects are sitting in each stage (Qualify, Propose, Follow Up, Closed Won/Lost).

  • Filter by account owner, business unit, or source.

  • Quickly spot deals that need a proposal or follow-up.

For account executives, this means they’re living in one workspace: They prospect, qualify, and work on project opportunities inside CRM, instead of bouncing between tools. Workflows flow seamlessly into our bidding and estimating functionality.

Build Detailed Proposals with Accurate Pricing for Any Job Type & Size

ServiceTitan gives contractors the flexibility to create different types of construction estimates:

  • For jobs where all the details of what’s needed are known (e.g. smaller projects or track home builds), office staff can build line-item estimates that specify exact services, equipment, and materials.

  • For larger, more complex projects where you need flexibility, you can use rough project estimates with summary totals to set budgets and track actual revenue and costs over time.

  • For smaller, simpler jobs, you can easily create mobile proposals with our integrated pricebook.

Precise Line-Item Estimates for Projects Where All Details Are Known Upfront

With ServiceTitan, contractors can build precise line-item estimates that list the exact services, materials, and equipment required for a job. Every item pulls directly from your pricebook, ensuring accuracy and consistency in pricing, including markups.

Line-item estimating is ideal for smaller, shorter-term projects where detailed scope and costs are known upfront. Estimates can also trigger purchase orders via requisitions, tying directly into purchasing and invoice closeout workflows for streamlined job costing and project management.

The #1 newsletter for the trades.

Rough Estimates for Complex Projects Where You Need Flexibility

ServiceTitan’s rough project estimates make it easy to build budgets for large-scale or long-term projects when every detail isn’t known upfront. Instead of listing specific equipment or materials, you can use summary tasks and revenue items to represent overall contract value and projected costs.

By setting up default project labels for pricebook items, job types, and technicians, budgets automatically populate in the Budget vs. Actual table, keeping expenses organized and easy to track. This method is especially useful for construction estimating and early-stage bids, where flexibility is key and estimates need to be created quickly without every line item in place.

Mobile Proposals for Smaller Jobs and Projects

ServiceTitan's Pricebook: Generators

For smaller, one-off jobs and projects, such as residential or commercial installations where estimates are more straightforward, electricians can create proposals using our native, fully integrated pricebook, right from their tablet.

From the field, technicians or sales staff can use pre-built estimate templates, or create estimates from scratch, and combine estimates into Good-Better-Best proposals via our mobile app.

Our pricebook functionality includes:

  • Flexibility and Customization: Upload a pricebook you already use, build one from scratch, or use our prebuilt templates and pricebooks.

  • Direct Supplier Integration: Use Pricebook Connect to integrate directly with top industry suppliers so that your proposals always reflect the most up-to-date pricing, product images, and product descriptions.

  • Automated Pricing Updates: Set up rules to dynamically automate pricing updates that are reflected in estimates and proposals and across all devices (mobile, tablet or desktop).

  • Flat-Rate Pricebook: Upgrade to Pricebook Pro to save even more time and ensure that your electrical company offers the best flat-rate services, set to maximize profitability.

With ServiceTitan you can attach photos, videos, and documentation to bids to provide potential clients with extra information (and evidence) of the proposed work. Photos can even be annotated to emphasize problems, improvements, and changes over the course of a project.

Offer Financing Options to Close More Big-Ticket Jobs

ServiceTitan helps contractors close more jobs by making it easy to offer financing options directly from the field. Through integrations with trusted providers like GreenSky®, GoodLeap, Service Finance, Wells Fargo, Synchrony, Financeit, and more, electricians can add financing plans to proposals and estimates, manage applications, and secure approvals on the spot.

By giving customers flexible payment options, you not only make larger projects more affordable but also increase your average ticket size and boost conversion rates—all without adding extra friction to the sales process.

Automate Electrical Bid Delivery, Approval & Follow-Up

An example of an email sent with estimates for new garage door

With ServiceTitan you can deliver electrical proposal letters to clients in several ways — print, email, or export in PDF format. If changes are made to approved project plans, proposals can be updated and/or additional job estimates or quotes can be created as needed throughout the project.

ServiceTitan makes it easy for customers to review and approve estimates online through a secure link included in proposal emails.

  • Customers can view the proposal, accept terms, and sign electronically from any device → speeds up approvals and boosts close rates.

  • Office staff can customize email templates, set expiration dates, and schedule automatic reminders for unsold bids → reduces delays, increases transparency, and helps contractors win more jobs, faster.

When a customer is ready to move forward, proposals can be quickly converted into a booked job or project, with credit assigned to the right salesperson. This streamlined workflow makes it easier to re-engage leads, close more deals, and maximize revenue from every bid created.

Then, proposal details are automatically transferred to other documents — a purchase order or application for payment, a schedule of values (referred to in ServiceTitan as a Continuation Sheet), and more.

Manage & Execute Construction Projects from One Dashboard

Product Illustration

A project overview page is automatically generated when a new project is created in ServiceTitan: for example, a complete home remodel, or a sizable construction project. From this dashboard, contractors and project managers can:

  1. View all basic project information — including project name, job address, contact information, brief description of the project, project milestones/due date, etc.

  2. View, log, and prioritize project tasks.

  3. Access project financials — including project job costing, expense details, and cash flow that update automatically throughout a project.

  4. Initiate key actions — such as generating an estimate, purchase order, application for payment, invoice, and more.

  5. View team members/stakeholders involved in the project.

  6. Access an audit trail including events, notes, and project documentation (work permits, contracts, safety policies, hazard assessments, etc.).

Seamlessly Initiate Requisitions & Purchase Orders

Construction Management Software by ServiceTitan

When a bid is successful, all of the details you’ve set up in the proposal are automatically integrated into the rest of the project management workflow.

  • Initiate a Requisition of Equipment and Materials: For example, you can select your required permits and materials from within your bid, which will lead you through a workflow to create the purchase orders you’ll need.

  • Create Purchase Orders: Line items are automatically populated from your proposal, so you can simply select your procurement sources and shipping locations for each material. Then, you can save that order to create a transaction and send those purchase orders to your vendors — without ever leaving ServiceTitan.

Analyze Real-Time Project Financials & Job Costing at Every Stage

As you progress through an electrical job — creating purchase orders, logging labor hours, processing change orders, receiving progress payments, and so on — ServiceTitan provides:

  • Real-Time Project Financials & Job Costing: This is done automatically for you, based on work that’s completed and entered into the system. This saves you from manually updating Excel spreadsheets every time labor and material costs are incurred.

  • A Detailed Breakdown of Project Budget vs. Actual Costs: This automatically updates as you accumulate expenses from materials, equipment, and labor hours. Margins are displayed in dollar amount and percent form to help you track job costs and profitability throughout your project.

Project Financials: Budget vs Actual
  • Ability to Drill Down into Your Expenses:  Access a table that breaks down your expenses in further detail. Click on line items to see the exact source of that expense (which technician logged those hours, or which vendors certain materials came from). This allows you to easily check your cost breakdowns and feel confident in your data.

Automate Progress Billing & Invoicing

Application for Payment #1: Continuation Sheet

The initial sales proposal you created also informs and populates your application for payment, so contractors can generate invoices and get paid quickly.

  • Easily Generate Payment Applications: Select the billing period and the percent of each line item you want to bill for. Then, generate a PDF payment application with the details automatically filled out, and send it to your client for review.

  • Get Paid Faster and Reduce Cash Flow Issues: Electrical subcontractors can defend pushbacks from construction companies or general contractors with ServiceTitan’s continuation sheet, which saves and organizes the payment application for easy reference and sharing.

  • Create Invoices Instantaneously: When an application is accepted, generating an invoice for the progress payment can be done in a few clicks and sent to the customer.

  • Integrate Payments with Your Accounting Software: When payments come in, you can swiftly update your accounts receivable through our Viewpoint, Sage, QuickBooks, and CSV accounting integrations.

All these capabilities make it much easier to defend denials, get paid regularly, and keep up a steady cash flow during big projects

Stay Up-to-Date with Automated Work in Progress Reporting

Product Illustration

ServiceTitan offers work-in-progress (WIP) reports to help businesses maintain an accurate, up-to-date view of their projects by calculating recognized revenue based on the percentage-of-completion method.

For larger organizations with many construction jobs in progress, this report is invaluable for getting a real-time view of the financial health of the business and ensuring that budgets are managed effectively. In addition, project managers can use WIP reports to manage over- and under-billing.

To run the report, users select from a series of fields, including date ranges, project statuses, and completion dates. The report then generates a table with the following project details:

  • Project number and name

  • Contract value

  • Estimated cost

  • Total cost

  • Percent complete cost

  • Earned revenue

  • Revenue

  • Retainage percent

  • Retainage

WIP reports can be customized with various columns and calculations based on your business needs and can easily be exported to be further manipulated in spreadsheets, too.

Like all other features within ServiceTitan, the data used to generate WIP reports is automatically pulled from other areas of the platform. As a result, the amount of work and potential for errors in generating these reports is significantly reduced.
